A specialist, City-based investment company requires an experienced Team Secretary to support a lively team of around 7 with secretarial services. This is a maternity contract until Dec 2020.

Key Responsibilities


  • Liaising with travel agents on travel/hotel requirements, booking taxis/transfers.
  • Preparing monthly cash and credit card expenses for the team members.
  • Coordinating offsite meetings and meetings for external Directors
  • Liaising with international offices
  • Booking conferences, meeting rooms and arranging meetings.
  • Maintaining weekly attendance sheets, team holiday forms, managing the team diary and maintaining the Gifts & Gratuities compliance log.
  • Compiling minutes from the quarterly meetings.
  • Following-up of software problems, printers etc.
  • Printing, binding, copying, scanning documents and business cards
  • Switchboard and reception cover on rotation and whenever necessary.
  • Uploading Legal documents onto the system
  • Providing other administrative and secretarial support to three teams as required.

  • Skills and Experience

    • Previous experience working within a secretarial role within financial services is essential
    • A strong team player with excellent communication skills
    • Highly organised with a keen eye for detail
    • Advanced user of Microsoft Office applications
    • Personality is key - this is a warm and sociable team and they are looking for someone who would fit in well
