My client who is a very well established asset management firm based in the heart of the City is looking for an experienced Team PA with previous experience of supporting teams within the financial services/professional services sector.

Key Tasks And Responsibilities

  • Provide full and efficient secretarial and administrative support to two Heads of Sales.
  • Ad hoc support for the relevant teams and other Business Development team members to enable them to concentrate on the principal activities of their role.
  • Managing the two Heads' inboxes
  • Organise diaries, arrange meetings, plan and book travel arrangements, arrange lunches/events, draft letters/correspondence, maintain filing and contact databases etc.
  • Ensure managers are prepared for meetings and events well in advance, allowing for the timely reading of all meeting documentation.
  • Prepare presentation materials (e.g. on MS PowerPoint) and other documentation as required, including printing of presentations and agendas for meetings. Attend meetings and take notes as required.
  • Ensure optimal IT availability for the team, liaising with IT department when necessary.
  • Maintain annual leave/absence records for team.
  • Manage expense claims, purchase orders and invoicing, and other administration.
  • Co-ordinate with other secretaries as necessary.
  • Provide backup to other PAs in the department as required.

Skills and experience required

    • Good standard of education
    • Likely to have at least two years' experience providing secretarial support to senior management
    • Experience of supporting a team is preferred
    • Experience of managing busy diaries
    • Experience of acting as the 'gate keeper' for the manager's email inbox is preferred
    • Proven experience in a financial services or consulting environment
    • Typing at least 50wpm
    • Strong secretarial and administrative skills
    • Advanced IT skills (MS Office and Outlook)
    • High level of confidentiality
    • Attention to detail and accuracy - 'right first time' approach
    • Flexible and adaptable

    • Self-motivated with a pro-active approach - can-do attitude
    • Able to juggle multiple priorities and remain calm under pressure
    • Excellent communication (written and oral) and interpersonal skills
