A leading global telecommunications company requires an experienced Team Assistant to support a Vice President and small team. This is temp for 3-6 months with an opportunity to become permanent

Key Responsibilities:

  • * Managing VP's business diaries/calendars
    * Organising complex travel arrangements and requirements
    * Raising Purchase Requisitions and setting up new vendors; processing / tracking invoices for the department; communicating with requester; Accounts Payable and suppliers
    * Processing expenses on Concur system
    * Organising internal/external meetings and events, setting up Webex facilities, teleconferences, videoconferences; ordering catering
    * Providing support to external guests and overseas staff visits to global Head Quarters
    * Formatting presentations and documents
    * Providing filing support and document management solutions (printing and scanning)
    * Providing telephone cover and answering support during meetings etc
    * Arranging couriers / shipments documentation
    * Ordering stationary supplies
    * Supporting meetings inc minute taking and action tracking
    * Ad-hoc logistical support - liaising with IT, Telecoms etc. in the event of any issues
    * Handling confidential and classified information with discretion

Skills and Experience

  • * Experience supporting a team of geographically dispersed individuals
    * Experience in managing complex diaries, internal/external meetings, travel and mail within a corporate environment
    * Previous experience of supporting multiple senior leaders in a team administration role
    * Organised with excellent attention to detail and strong time management skills
    * Excellent inter-personal and communication skills, in particular to liaise with important external
    stakeholders
    * Proactive and driven
    * Advanced Microsoft Office suite in particular Outlook and PowerPoint
    * Strong interpersonal skills and team spirit
    * Experience of planning and coordinating team events
  • Knowledge or experience in SAP, Concur and Webex is desirable
