Team Assistant

Salary - Competitive

Purpose of role:

To provide general support to senior leaders and the Office Manager with administrative and operational tasks and being the 'go to' person to help with queries and problems

Reports to: Office Manager

Key Responsibilities:

* Diary management for a range of employees
* Travel management for a range of senior leaders (once normal business travel resumes)
* Expenses processing
* Record keeping where required
* Assisting with the organization of events and key meetings
* Acting as a problem solver for any issue which may arise (e.g. printing key documents, meeting with clients or guests etc.)
* Covering for the Office Manager when required
* Administration tasks such as filing, photocopying, scanning and large volume printing
* Daily management of incoming and outgoing post and parcel distribution
* Coordination of couriers (UK & overseas)
* Coordinate catering and assist with event preparation and hospitality
* Ad hoc support and assistance
* Helping HR/Finance teams with labour intensive processes (such as year end tasks), who may require short term support
* Reception & switchboard for the business

Essential Skills and Experience:
* Minimum 5 years working in Team Assistant roles in fast paced organisations
* Senior leader diary management whilst working across multiple time zones
* Domestic, international and multi-trip travel coordination and management
* Ability to understand the business and consequently, be able to efficiently prioritise different tasks at hand
* Working with cross-cultural, multi-site teams
* Experience within a fast paced, ambitious Start-Up or small company where challenges can vary from day to day
* Proficient in MS Office programs such as Word, Powerpoint and Excel
* Excellent communications skills, both verbal and written
* Pro-active outlook and happy to flex depending on the tasks required
* Excellent attention to detail and personal organization

Desired Skills and Experience:
* Some experience with running or assisting with board meetings, collating board packs
* Some experience with organizing events
