Team Administrator/PA - HR -Mayfair - £35,000 - £45,000

We have a simply outstanding opportunity for a Team administrator/PA who is happy to support a busy team of 5 including 2 Partners within a high performing HR function.

The role is working for one of the best companies in London who have a wonderful reputation and outstanding benefits. This finance house are leaders in their field and the opportunity is immense and you will be working 4 days on site, with 1 day from home in luxurious offices in the West End.

The hours are 8.00 - 5.30 with fantastic facilities onsite including a gym and free lunch.

We are looking for candidates who may currently be working in HR supporting as a Team Administrator/PA within financial services, but HR experience is not essential. More important is a steady work history, fantastic attitude and exceptional organisational skills.

The role requires an individual who can prioritise well, is utterly confidential and is very confident around Excel, Outlook etc.

Working in truly amazing offices in the West End, you will handle a variety of key tasks for the HR team and be a real lynch pin with administrative support.

Part of the role requires PA support to two Partners with travel arranging, a little personal work and secretarial tasks. Additionally, providing admin support to the wider team.

The team are very welcoming and highly professional and we are seeking a candidate who wants to get involved, learn and immerse themselves in the goals of the department, taking on ad hoc projects when required.

Responsibilities:

  • Provide administrative support to two Partners within the HR team and support the wider HR team.
  • Work with recruiters on schedule coordination.
  • Be able to gather relevant information for assessments conducted by the Partners for interviews.
  • Update recruitment crm database.
  • Manage and submit expense reports in a timely manner.
  • Work with Assistant teams in global offices to schedule internal/external meetings.
  • Provide detailed and complex calendar management (scheduling meetings and calls, travel Etc).
  • Administering pre-employment checks and ad hoc background checks
  • Assisting other departments on cross-departmental projects
  • Assist in setting up interviews and on-boarding new hires, including data entry.
  • Help organise all new joiners induction day.
  • Coordinate travel and logistics and provide detailed itineraries.
  • Handle incoming phone calls for Partners.
  • Book team events.
  • Assist with general administrative tasks such as scanning, copying, printing, filing and ad-hoc projects.
  • Organise internal company presentations (guest speakers)
  • Invoice management, including costing breakdowns
  • Probation administration
  • First point of contact for benefits queries
  • Enrolling new members onto benefits
  • Immigration checks
  • Data entry on internal systems
  • Monitoring department inbox and responding to queries


Requirements:

  • Must have strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Candidates should be resourceful, proactive and display good judgement.
  • Must pay close attention to detail.
  • Possesses the ability to prioritise time-sensitive tasks.
  • Must be comfortable working with people at all organisational levels.
  • Highest level of integrity, professionalism and discretion required.
  • Enthusiastic and eager to learn and improve processes.
  • Ability to multitask and prioritise as necessary.
