Are you discreet and confidential and have high attention to detail?

My client who is an international bank, is looking for a senior level PA to provide high level confidential support to the Head of HR and the Head of the London Office.

Duties will include:

  • Manage the heads diaries to ensure effective time management.
  • Organisation of travel and hotel arrangements when required.
  • Ability to liaise with all levels of management whether internal or external.
  • Arrange meetings both internally and externally.
  • Draft agendas, prepare papers and background material as necessary to ensure managers are fully briefed.
  • Together with Head of HR, assist in payroll duties. Be mindful of strict timescale
  • restrictions and ensure that data is accurately entered.
  • Together and on behalf of Head of HR, assist with employee benefit schemes.
  • Manage local events
  • Visit locations when appropriate to ensure that all our requirements/expectations are successfully met. All costs to be within planned budgeted spend. Issue of internal/external invites and collation of replies..
  • Screen telephone calls, enquiries and requests from internal and external parties to ensure that they are routed correctly. Take detailed and comprehensive messages.
  • Meet and greet visitors at all levels of seniority internally and externally and arrange appropriate meeting rooms and refreshments.· Devise and maintain efficient office systems/procedures, including data management, filing and retrieval system.
  • Skills and experience required
  • · Liaise with Professional Support colleagues in The Hague and Frankfurt offices to ensure that a reciprocal service is available to both managers and visiting senior international employees.
  • Undertake research and present findings and ideas in a comprehensive understandable manner.
  • Excellent communication skills and the ability to get messages delivered across all levels
  • Strong time-management skills and the ability to meet changing deadlines
