A global, top 100 law firm requires an experienced Legal Secretary to join their property department. You will work with the other secretaries to support the partners and other fee earners with a range of administrative duties in this busy role. Experience in the property department of a law form is essential!

Key Responsibilities

 Providing a full secretarial service to partners and other fee earners, co-ordinating all fee earner workloads and prioritising as required

 Working closely with other secretaries in the group to co-ordinate and share workload

 Ensuring that dictations and other tasks are carried out promptly and efficiently

 Typing correspondence by both audio and copy typing and compiling draft replies to standard letters, ensuring that all correspondence and documents are produced to the highest standard and are in line with the firm's house style

 Liaising with the document centre regarding the production of documents when necessary

 Opening manual and electronic post, receiving and answering communications as directed

 Implementing good housekeeping with regard to filing (client generated and administrative, e-filing and paper filing), archiving and the document management system by organising and maintaining a comprehensive filing and document management system

 Screening incoming calls, assisting clients with enquiries where possible and undertaking scanning and copying or co-ordinating through the general office

 Using Outlook for reminders and tasks to ensure that all bring-forward matters and important dates are highlighted

 Scheduling appointments (both internally and externally) using the electronic diary

 Booking meeting rooms, arranging lunches, travel arrangements and all other appointments as required by the fee-earners

 Preparing partners' monthly expense claims

 Producing accounting information from the accounts system, preparing billing guides and drafting invoices, and following the department's processes for production of final invoices

 Completing all accounts forms

 Posting and filing timesheets.

 Representing the best interest of the firm when dealing with people internally and externally

 Covering and offering help to other secretaries within the group and within the department

Skills and Experience

 Strong academics

 Recent relevant experience within a property department of a law firm

 Excellent time management and organisational skills

 Meticulous attention to detail and ability to demonstrate exceptional case management

 Demonstrable track record of excellent direct client contact and client care

 Excellent IT skills, including advanced working knowledge of Microsoft Word and Office packages, working knowledge of document management systems and e-filing and a minimum typing speed of 65wpm.

 Confident communicator with a positive work ethic and the ability to build credible relationships with clients both internal and external.
