Private Equity EA - IR - West End £47,000 - £50,000

We have the most amazing EA opportunity supporting in boutique private equity firm, based in luxurious offices in the West End.

Ideally, we are looking for an EA who is currently supporting in or has exposure to Investor Relations and enjoys providing key administrative support to their senior stakeholders.

Working in a supportive environment with like-minded EA's you will work for the a founding Partner and Head of IR, plus two Associates, delivering first class administrative support and you should be very confident on scheduling and diary management.

The company are successful, inclusive and fun and we are looking for an individual who is upbeat, passionate about their role and who really enjoys being an EA and ideally comes from a private equity or finance background.

When you work in a boutique environment, days are varied and can be fast paced and everyone mucks in. It's a really collaborative feel and we are looking for a candidate who is used to delivering at Partner level and understands and anticipates their ever changing demands.

As the right hand to your stakeholders, you will provide seamless support and be an ambassador within the business and have the chance to really add value and take on ad hoc projects as and when.

This is a pure EA role and we are looking for a finance experienced individual who enjoys a variety of tasks and lives and breathes the EA piece.

Duties include:

  • Conserves Executive's time by preparing and sending emails on their behalf, putting reminders in place for telephone correspondence and emails, maintaining a schedule of people to meet when they are travelling, preparing research and documentation ahead of meetings.
  • Assist in preparing documentation, reports, presentations and announcements by proof reading, editing and formatting, for external distribution.
  • Prepares and carries out plans for various company policies; such as investor communications, marketing and social media.
  • Building excellent working relationships with the Executive's regular contacts and their assistants.
  • High level contact with Investors including arranging meetings, travel and accommodation on occasion. Understanding the importance and purpose of these interactions and tracking them on CRM. * Working closely with executives on LP Communication Plan ensuring objectives and obligations are met.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Proactively arranges executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Prompting on priorities and dealing with continuous changes to schedules and priorities in different time zones.
  • Assisting Office Manager to ensure temporary cover is in place for admin team holidays. Liaising with the temporary cover and their Agencies.
  • Mentoring Junior admin team members to enable them to develop their skills.

ADMINISTRATIVE DUTIES/RESPONSIBILITIES

  • Scheduling and coordinating international and domestic travel including flights, hotel and ground transportation.
  • Coordinating necessary visa and passport renewals.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies (such as breakfast seminars, attending training sessions and attending networking events).
  • Providing administrative support to visiting guests.
  • Arranging and setting up audio and video conference calls. Liaising with technical contacts as required.
  • Managing conference registrations and board attendance.
  • Preparing and submitting expenses.
  • Working as a super user of the CRM system, having a deep understanding of the system itself and taking ownership of the requirement to keep all the information up to date. Also being an advocate for the CRM system across the business.
  • Maintaining various databases and documentation in word, excel, outlook and powerpoint.
  • Taking responsibility for some central administrative tasks and working autonomously to ensure records are maintained, deadlines are met and any necessary actions are taken.
  • Arranging and assisting on corporate events.
  • Excellent telephone manner. Answering phones and directing calls to the appropriate parties in an efficient and professional manner. Taking clear and concise messages and passing these on accordingly.
  • Preparing agendas and other relevant materials for key meetings.
  • Creating and editing both PowerPoint and Word presentations.
  • Printing and binding documents.
  • Maintaining general office filing both soft and hard copy.
  • Providing assistance and cover to the admin team including reception where necessary.
  • Filing current, closed and potential deals. Maintaining a central file (soft and hard copy).
  • Willingness to assist with all manner of tasks. Examples of this may include laying out lunches, making hot drinks, running errands and keeping the office clean and tidy.
  • Liaising and assisting IT support. Notifying our IT consultant of any IT issues arising and logging the relevant details on the IT log. Tackling simple IT tasks. Checking for obvious explanations for problems such as power supply or restarting the machine. Learning how issues were fixed so that if the problem arises again the Personal Assistant can endeavour to tackle the issue where appropriate. * Additional duties and tasks as required.
