Profile Summary

The Personal Assistant is responsible for supporting at least two senior executives in a timely and professional manner, providing high-quality administrative and clerical assistance.

Duties and Responsibilities

  • Ensure the smooth running of the executive's office, working both on a one-to-one basis with the executives, but also on a wider basis with internal colleagues and external clients.
  • Preparing detailed travel itineraries and ensuring all amendments are updated swiftly and the Executives is fully informed.
  • Prepare meeting agendas, perform research for meetings and take minutes, as requested.
  • Process expenses relating to business trips and/or client entertainment on behalf of the executives.
  • Maintain the electronic filing system, ensuring processes are documented and followed; always looking for ways to improve.
  • Produce reports and prepare presentations, as requested.
  • Act as the point of contact between the executives and internal colleagues, across a number of geographical locations and time zones - within EMEA and across the world.
  • Liaise with clients and business guests on behalf of the executives to arrange meetings and entertainment events.
  • Organise and schedule meetings to manage the executives continually changing diaries.
  • Handle correspondence directed to the executives as requested.
  • Manage phone calls and emails, as requested.
  • Book and manage business travel arrangements, including flights, transportation and accommodation for the Executives and other employees, as required.

Qualifications, Skills and Experience

  • Excellent verbal and written communication skills, in both English and Japanese is essential.
  • Experience in supporting senior executives, ideally within the Financial Services or Professional Services sector.
  • Outstanding ability to navigate and operate Microsoft Office, and ideally Lotus Notes.
  • Considerable experience in organising international travel and managing itinerary changes.
  • Excellent time management skills.
  • Well-developed organisation skills.
  • Strong attention to detail.
  • Sound numeracy skills.
  • Ability to multi-task and continually prioritise tasks.
