Responsibilities:
Provide administrative support to a growing team of Portfolio Managers and Analysts
Work with sell-side brokers on conference schedule coordination, non-deal roadshows, and analyst calls for Fundamental team members
Be able to gather relevant information on stocks (i.e. - annual reports, quarterly releases, presentations, research
Assist with quarterly team tasks relating to the reporting cycle of public companies
Update contact database for brokers and other key business contacts
Manage and submit expense reports in a timely manner
Work with global Assistant teams to schedule internal/external meetings
Provide detailed and complex calendar management (scheduling meetings and calls, adding in earnings release dates and calls, travel details)
Assist in setting up interviews and on-boarding new hires
Coordinate travel and logistics and provide detailed itineraries
Update CRM and compliance databases
Handle heavy phone lines
Book small team events
Be available for some earlier meetings - this would be a shared responsibility
Assist with general administrative tasks such as scanning, copying, printing, filing and ad-hoc projects
Maintain an understanding of our company's reporting policies
Requirements:
Must have strong proficiency in Microsoft Outlook, Word, Excel
Must have 1-3 years' experience in a similar administrative capacity
Must be vocal and have a sense of urgency while displaying the ability to work well under pressure
Candidates should be resourceful, proactive and display good judgement
Must pay close attention to detail
Possesses the ability to prioritise time-sensitive tasks
Must be comfortable working with people at all organisational levels
Highest level of integrity, professionalism and discretion required
