HR Executive

A fantastic opportunity has arisen for an experienced HR Executive (generalist role) to provide proficient, accurate and pro-active coordination and support to Head of HR for the full range of HR operational activities and the delivery of strategic HR projects that span the whole employment lifecycle. Although this is a generalist HR role, this position would suit someone with strong recruitment experience, as this will be at least 50% of the role.

This is an international company with a fantastic HR team led by a credible and knowledgeable HR Director.

Key Activities & Responsibilities

Recruitment

Manage the co-ordination of the full cycle of the recruitment processes, including on-boarding of staff:

  • Manage the recruitment authorisation process, ensuring budgets are adhered to and appropriate and timely sign off is gained
  • Draft job descriptions for sign off by Head of HR and line manager
  • Draft and place job advertisements on LinkedIn or similar
  • Log and respond to job applications/recruitment enquiries - ad-hoc and otherwise
  • Ensure that detailed and accurate recruitment spreadsheet data is logged for every candidate including application details, stage in process & feedback
  • Handle rejection letters/emails
  • Manage the relationships with support staff recruitment agencies including negotiation of terms, provision of candidate feedback and briefing on roles and benefits.
  • Prepare candidate shortlists - using judgement/experience to effectively sift and ensure that the best matched candidates are selected for interview
  • Arrange interviews and relevant tests, as appropriate
  • Prepare interview packs for interviewers prior to interviews
  • Attend interviews for support staff, as appropriate
  • Complete right to work checks on all potential and new employees
  • Request employment references for new starters
  • Process all new starter documentation for electronic and hard file via checklist
  • Prepare contracts of employment, change of terms letters or contract for service, as appropriate
  • Maintain and send out of pre-boarding packs
  • Manage and coordinate a professional and timely induction process
  • Ensure all induction pack documentation is up to date and accurate, drafting additional documentation, as and when required.
  • Run the HR induction meetings and office tour for new starters
  • Manage the 360 probation feedback sessions, including preparation of outcome documentation for senior meeting and confirmation/extension letters

Payroll & Benefits

  • Manage the data input for monthly payroll, ensuing that information is entered onto the monthly spreadsheet in a timely and accurate manner
  • Liaise with the Finance Manager on all payroll matters
  • Ensure payroll documentation for new starters is retained on file and copies provided to the Finance Manager
  • Assist the Finance Manager & Head of HR in the administration of the various benefit schemes

Performance Management & Development

  • Coordination of Performance Management process in line with relevant timetable
  • Research relevant training providers as requested, submitting proposal to Head of HR for consideration
  • Maintain training needs analysis spreadsheet, ensuring that all training needs are followed up
  • Maintain the Line Managers toolkit on the shared drive

Employee Relations

  • Advise on basic level employment law queries for staff
  • Manage the leaver administration process, including exit interviews, reference requests, resignation acceptance letters, property returns and archive files.

HR Systems

  • Maintain an accurate and up to date HR data system
  • Produce reports/management information from the ADP System, as required
  • Ensure all personal data is retained and processed in line with GDPR requirements
  • Ensure paper and electronic HR files are held confidentially and are kept up to date

Team Support

  • Support the Head of HR on strategic HR projects, such as system implementation and organisation change/people plans.
  • Oversee diary of Head of HR, using initiative to ensure time is effectively managed
  • Use judgement to make arrangements for meeting requests internally and externally
  • Coordination of various HR/ project meetings, committees and events, including room bookings, catering and attendance as and when required
  • Collate & circulate relevant meeting/committee agendas
  • Coordinate and submit HR expenses for Head of HR
  • Ensure HR related invoices are correct, authorised and submitted to finance for payment
  • Take confidential meeting minutes as and when required
  • Maintain up to date information for the charity, training and recruitment budgets
  • Contribute to ad-hoc projects and tasks when requested to meet the demands of the department.

Key Relationships & Interfaces

This role has a high level of interaction with all internal staff and external parties. In many cases, this role holder will provide the first line of contact on behalf of the company externally, so a professional, courteous and confident approach is essential at all times.

Person Specification

  • Clear, concise and effective verbal and written communication skills
  • Ability to prioritise effectively
  • Experience with HR system implementation and maintenance
  • Ability to interpret HR policy and propose solutions
  • Ability to use own initiative to improve processes and procedures, looks for new ways of doing things, thinks outside of the box
  • Ability to work to deadlines
  • Strong Microsoft office skills - Word, Excel, PowerPoint
  • Confident in dealing with senior stakeholders
  • CIPD qualification Level 3/relevant skills and experience
