Highly successful international technology firm based in the West End is looking for an experienced Facilities/Operations Assistant to provide support to the London office. The successful candidate will be proactive individual with customer service skills. No two days will be the same as this is a varied and challenging role and flexibility with workings hours will be required to meet business demands

As an Operations Assistant, you will be responsible for making sure that London office operations function and are maintained to the highest standards. In this role, you will support the daily operations - working to ensure spaces are set up to meet operational requirements while prioritising functionality and organisation, as well as executing office processes seamlessly and preventing issues before they arise.

Responsibilities will include

  • Deliver excellent customer service at all times.
  • Act as on the ground support for the Operations team, report anything that requires attention and flag any maintenance, facilities and building issues.
  • Own conducting regular office audits and ensure all spaces are fully functional.
  • Order all office supplies, keep inventory and restock the self-service cabinets.
  • Prioritising, updating and actioning tasks accordingly via internal ticketing platform.
  • Follow and maintain standard operating procedures.
  • Work closely with the internal Operations teams to proactively seek solutions and action last minute requests.
  • Cover all mail operations, including shipping and receiving domestically and internationally.
  • Own event space set up (assembling, dismantling and moving furniture before and after event).
  • Ensuring event set up meets the event requirements.

Skills and experience required:

  • Excellent administrative and organisational skills with customer service orientation.
  • Strong interpersonal and communications skills, with both internal and external parties.
  • Ability to prioritise tasks with a proactive approach and excellent attention to detail.
  • Able to work independently as well as part of a team.
  • Proficient use of Microsoft Office Suite preferred.
