Executive Assistant/OM - West End - £60,000 - £65,000
We have an outstanding opportunity supporting as an Executive Assistant/Office Manager to work for a start-up boutique finance platform who are an offshoot of a very successful finance house.
The role is a mixture of Executive Assistant/Office Manager duties supporting a busy Head and team based in brand new offices in the West End.
You will be the lynch pin of the office, assisting the team with secretarial duties and handling the office management piece and really making the role your own.
You will support 3/4 investment professionals, with key focus on the Head of department and as a new team, you will go on the journey building the office together, with a great sense of adventure!
We are looking for a candidate who may currently be an Executive Assistant/OM supporting a small team and who is very happy with a mix of duties and complete variety in their working day.
Ideally you will be currently working within private equity or asset management and be very happy in that space and really enjoy handling logistical tasks, such as setting up IT, vendor management, interior design assistance and all the initial start-up office OM duties.
You should have experience of working at pace and be quick thinking and an excellent communicator. The role will be hybrid initially as the office is set up and you will handle lots of diary and travel arranging for the Head and team.

Full diary management for Executives
Schedule a variety of meetings, conference calls, video conferences both internally and externally
Arranging international and domestic travel (flights, hotels, cars etc.) via travel agent
Assisting in preparation and printing of presentations & proposals
Providing administrative assistance for colleagues from other office locations, who frequently visit the London office
Completing corporate card expenses and out of pocket expenses
Telephone and email coverage
Preparation and set up of refreshments for internal meeting rooms
Updating CRM on Salesforce
Office Manager Responsibilities:
Responsible for all general office administration work in accordance with Company established policies, practices and procedures and local government laws and regulations
Interface effectively with Head Office for Administration
Interface effectively with local third party companies for Company Secretary, IT and other services
Initiate and maintain office filing system for electronic and hard copy files
Administer employees' Leave Records
Upkeep of office premises and equipment
Liaison with local suppliers - responsible for the purchasing and inventory control of office supplies, equipment and refreshments
Supervise and coordinate local administration services e.g. cleaning and courier service
Experience in secretarial support / office management within Financial Services sector, ideally Private Equity, Investment Management or Investment Banking
Experience working for a global team, including an appreciation of cultural differences and working across different time zones
Advanced MS Office including Word, MS Outlook, Excel and PowerPoint
Good team player with a proactive attitude, takes initiative and has ability to work without supervision
Excellent communication skills at all levels
Ability to work calmly and efficiently in a pressurised environment
Ability to handle multiple tasks and competing priorities, often with tight deadlines
