We have a superb opportunity for a corporate receptionist to work in a boutique finance house, joining a team of two and working alongside the Operations Assistant in luxurious offices in the West End.

Working 9-6, my client is seeking a graduate or graduate calibre individual who has a really approachable and charming demeanour, coupled with an immaculate corporate image and a willingness to turn their hand to any admin or corporate reception task required.

We are looking for an individual who is self-motivated, accurate and shows initiative. A real team player with a strong work ethic and super communication skills, coupled with proven reception experience. You should be proficient in Word, Excel and Powerpoint.

Duties include:

Reception:

  • Welcome visitors and guests and directing them to the appropriate meeting room.
  • Receive and direct all switchboard calls. Relaying messages, as required.
  • Book in and prepare meetings, video conferences and conference telephone calls.
  • Handling all incoming and outgoing couriers, including outgoing franked mail.
  • Keeping up to date with the Reception inbox including filtering through the daily press cuttings and investment enquiries.
  • Book taxis for staff or guests, as required.

Hospitality:

  • Preparing meeting rooms before each meeting, and making sure all meeting rooms are cleaned immediately after meetings and kept tidy and set up to the expected standards at all times.
  • Offering and making drinks for meetings
  • Ordering breakfasts and lunches as required. Responsible for ensuring all catering requirements are dealt with promptly and efficiently.
  • Ensuring that the guest toilets are kept stocked with hand wash. Replenishing stock when necessary.
  • Responsible for keeping the staff kitchen fully supplied and clean throughout the day.
  • Taking note of stock for food, drink, kitchen supplies and cutlery/crockery.
  • Liaising with suppliers regarding ongoing services and products.
  • Distributing the incoming post and deliveries.

Other:

  • Assisting with ad-hoc facilities duties as required - for example, liaising with contractors for lighting maintenance or when facilities or equipment need fixing in the office and other office 'odd-jobs' as required.
  • Requesting archiving supplies, updating internal records of archived items and arrange for pick-up/drop-off of boxes.
  • Covering front of office lead duties when Operations Assistant is on annual leave.
  • Organising company socials on a quarterly basis including Summer drinks, Christmas party and charity events.
