Position Summary
The temporary employee will lead the revamp and modernization of the department’s intranet policy page, including updates to PowerDMS training modules and creation of new training materials to enhance understanding of policy and SOP processes. The role focuses on centralizing policy content for easier navigation, converting static documents into interactive, link-based formats, and maintaining both intranet and public-facing web pages. The employee will also support public hearings, assist with policy audit tracking, manage annual review deadlines, and provide general administrative support to multiple units within the department.
Key Responsibilities
- Redesign and centralize the department’s intranet policy page for improved staff access and self-guided learning.
- Update PowerDMS training modules and develop new policy/SOP training materials.
- Convert static policy and SOP documents into dynamic, interactive, link-based formats.
- Identify and repair broken hyperlinks; maintain accurate and compliant intranet and public internet pages.
- Support public hearings by preparing materials, distributing notices, transcribing minutes, and posting documents online.
- Assist with data entry, track policy audit metrics, and support the annual policy review process.
- Coordinate deadlines and documentation with subject matter experts.
- Provide general administrative support such as scheduling, ordering supplies, filing, and assisting the Policy and Auditing Unit, ACA Unit, and Staff Wellness Committee.
Required Skills
- Previous experience using intranet platforms (e.g., SharePoint, Confluence) and/or maintaining web pages.
- Experience converting static documents into interactive, link-based formats.
- Strong organizational skills with experience in filing, ordering, and general office support.
- Excellent written communication skills for preparing public hearing materials, transcribing minutes, and developing clear internal and public-facing documents.
Preferred Skills
- Experience with PowerDMS or similar policy/training management systems.
- Familiarity with policy development, auditing, or compliance processes.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Experience supporting public-sector or government administrative functions.
- High school diploma or equivalent required.
