Position Summary:

The Payroll Specialist I will support the centralized Payroll Team responsible for processing weekly, bi-weekly, semi-monthly, and monthly payroll for over 60,000+ employees across the U.S., Canada, Puerto Rico, and the U.S. Virgin Islands. This role requires strong accuracy, attention to detail, and the ability to manage high-volume payroll tasks within strict deadlines.

The specialist will handle payroll data entry, resolve payroll discrepancies, conduct audits, and collaborate with internal partners to ensure pay accuracy and compliance. This position involves extensive customer service interaction, frequent email/phone communication, and adherence to federal, state, and local payroll regulations.

Key Responsibilities:
  • Process weekly, bi-weekly, semi-monthly, and monthly payroll for union and non-union employees across multiple locations.
  • Enter employee maintenance updates, run payroll cycles, prepare payroll reports, and calculate manual checks.
  • Research, troubleshoot, and resolve payroll discrepancies or employee pay issues.
  • Perform data validation, audit tasks, and system checks to ensure payroll accuracy and compliance.
  • Issue stop payments and handle off-cycle check requests as needed.
  • Maintain payroll integrity by following established processes, documenting issues, and reporting necessary updates.
  • Stay updated on payroll system updates, regulatory changes, and internal policy changes.
  • Provide customer service to operational staff regarding payroll questions and issue resolution.
  • Maintain confidentiality of payroll records and sensitive employee information.
  • Support team tasks, collaborate with payroll peers, and assist with other duties assigned by leadership.
Required Skills & Qualifications:
  • High School Diploma or GED required
  • 1–3 years of payroll or high-volume data entry experience preferred
  • Experience with ADP, Kronos, or similar payroll systems strongly preferred
  • Strong Microsoft Office skills (Excel, Outlook, Word)
  • Excellent verbal and written communication skills
  • Strong attention to detail and accuracy
  • Ability to multitask, prioritize work, and manage deadlines in a fast-paced environment
  • Customer service-focused mindset with professional and courteous communication
  • Strong organizational and problem-solving skills
Preferred Qualifications:
  • Associate degree or technical training in Accounting, Business, or related field
  • Experience supporting large organizations or multi-location payroll
  • Exposure to union payroll or compliance-based environments
