Our client, based in West Los Angeles, is seeking a talented Office Administrator to support daily operations and ensure a welcoming, professional environment for clients, consultants, and team members. This role is essential to the smooth running of the practice and represents the first impression of the firm’s brand and culture.
Key Responsibilities
- Welcome and assist clients, consultants, and visitors with professionalism and warmth.
- Manage incoming calls, messages, mail, and deliveries.
- Maintain office calendars, contact databases, and conference room schedules.
- Coordinate travel arrangements, including airfare, hotels, and rental cars.
- Provide administrative support to firm Partners and assist with office organization.
- Oversee office supply inventory, vendor relationships, and cleaning services.
- Ensure common areas (kitchen, lobby, and conference rooms) remain organized and presentable.
- Assist the Marketing team with administrative support
- Perform light clerical and filing duties.
- Associate or Bachelor’s degree preferred.
- 3+ years of experience in an office or administrative support role.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Dependable, detail-oriented, and proactive with a positive attitude.
- Interest in graphics or design a plus.
- Experience in the Architecture, Engineering, or Construction (AEC) industry preferred.
- Collaborative and casual work environment.
- Flexible hours: Monday–Thursday (8–6) & Friday (8–12).
