Job Title:- Licensing Aide II
Schedule:- Monday Friday 7:30AM to 3:30PM
Hours per week:- 35 hours
Contract:- 10 months 


Summary:
  • The Rhode Island Department of Health (RIDOH) is seeking a Licensing Aide II to support the Center for Vital Records. This position involves managing and maintaining the statewide vital events registration system in compliance with Rhode Island General Laws. The role requires strong clerical skills, data entry accuracy, and professional communication with local municipalities and the public.
  • The Licensing Aide II will also provide administrative support through data entry, documentation correction, and various office duties such as recordkeeping, phone/email communication, and filing. The ideal candidate will demonstrate attention to detail, excellent organizational skills, and proficiency in Microsoft Office applications.

Roles and Responsibilities:
  • These duties are illustrative only. Incumbents may perform some or all of these duties or other job-related tasks as assigned:
  • Accurately enter statistical and registration data into the State’s electronic database.
  • Maintain and update database records to ensure reporting accuracy.
  • Communicate and collaborate with 39 cities and towns across Rhode Island.
  • Provide customer service and information to the public regarding vital records.
  • Perform general clerical tasks including filing, document handling, typing, and phone coverage.
  • Support operational workflows as assigned by supervisors or team leads.
  • Knowledge, Skills, and Abilities:
  • Strong organizational and time management skills.
  • Ability to multitask effectively in a fast-paced office environment.
  • Proficiency in Microsoft Office applications (Outlook, Excel, Word, etc.).
  • Excellent verbal and written communication skills (phone and email).
  • Ability to handle sensitive information with discretion and confidentiality.
  • Courteous and professional demeanor when interacting with the public, co-workers, and municipal personnel.

Education and Experience:
  • Education: High school diploma or equivalent required.
  • Experience: Experience in a clerical, administrative, or related field involving independent judgment in processing transactions.
  • Equivalent combinations of education and experience will be considered.
