Summary
The Legal Assistant will support the EOHHS Appeals Office with administrative responsibilities related to the processing of appeals. This includes handling incoming phone calls, preparing and mailing formal correspondence, data entry, document preparation, and case file management. The ideal candidate will have prior administrative experience, attention to detail, and the ability to manage multiple routine clerical tasks efficiently.
Job Duties in Order of Importance
- Answer and cover phone lines; take and relay accurate messages
- Perform data entry into case management or eligibility systems
- Prepare and send formal written correspondence (e.g., hearing appointment notices, abandonment and withdrawal letters, decisions)
- Extract appeal information from the eligibility system
- Copy, scan, file, and organize case-related documentation
- Maintain accurate records of appeal-related communications and files
- Assist with document intake and processing for appeals
- Support other clerical and office tasks as needed
- English grammar, spelling, and composition
- Business communications and basic legal document formats
- General administrative and office support practices
- Filing and records management
- Microsoft Office Suite (Word, Excel, Outlook, Acrobat)
- Typing, data entry, and operating standard office equipment
- Generating formal correspondence and documents
- Handle multiple tasks with accuracy and attention to detail
- Communicate effectively via phone and email
- Follow verbal and written instructions
- Organize records in numerical or alphabetical order
- Maintain confidentiality of sensitive appeal information
- Assess inquiries and provide accurate referrals or responses
- Prior administrative or clerical experience
- Experience generating written correspondence
- Experience handling multi-line phone systems or customer calls
- Experience with data entry into electronic systems
