Position Summary
The Clerk Secretary provides administrative support for the Office of Human Resources within the Department of Corrections. The role requires excellent communication and interpersonal skills, as it involves frequent interaction with employees, union officials, external agency personnel, and the public. The position demands discretion and professional judgment in handling sensitive or confidential information, as well as the ability to multitask effectively in a busy environment with frequent interruptions.
Key Responsibilities

Perform data entry into the HR Access database.

Screen documents for accuracy and follow up as needed.

Create, organize, store, and retrieve paper and electronic files.

Maintain paper and electronic filing systems and records.

File and remove hard copy documents from personnel files.

Prepare correspondence and documents for signature.

Copy, scan, and send correspondence and documents via email, interoffice mail, and US mail.

Hand carry correspondence and documents to and from other offices within walking distance.

Schedule and maintain the HR calendar.

Assist visitors and callers, answer phones, respond to inquiries, and take messages.
Qualifications

High School Diploma/GED.

Prior secretarial or administrative/office support experience.

Ability to type at least 40 words per minute.

Proficiency with Microsoft Word, Outlook, Access, and Excel.

Experience with modern office equipment (copier/scanner).

Ability to take initiative and work independently, as well as follow direction and collaborate with others.

Excellent computer skills required.
