Job Description
General Statement of Duties:
To serve as a private secretary to a director or assistant director of a state department or agency, managing administrative tasks, correspondence, and office operations to relieve the official of routine responsibilities.
Key Responsibilities:
Executive Support:
- Serve as the primary administrative contact for the director/assistant director.
- Manage the executive’s calendar, including scheduling meetings with state officials, private organizations, and professional representatives.
- Screen and respond to written/verbal inquiries of an administrative nature (non-policy interpretations).
- Review and sign correspondence, memoranda, and forms for compliance with policies (as authorized).
Office Management:
- Independently draft routine correspondence without requiring executive review.
- Research and compile information for reports, speeches, or procedural updates.
- Handle confidential files and maintain sensitive records.
- Supervise a small clerical staff or advise on workflow coordination (as needed).
Technical & Administrative Tasks:
- Perform complex word processing and data entry using advanced software (e.g., Excel, Access).
- Generate reports, letters, and documents using appropriate applications.
- Organize data and design presentation methods tailored to departmental needs.
- Oversee general office duties (filing, phone calls, mail distribution).
Required Knowledge & Skills:
- Thorough knowledge of office practices, business English, and commercial arithmetic.
- Advanced proficiency in Microsoft Office (Word, Excel, Access) and data management.
Ability to:
- Handle sensitive information with discretion.
- Work independently with high initiative and judgment.
- Interpret complex instructions (written/oral).
- Maintain collaborative relationships with state agencies and external partners.
Work Environment:
- Minimal supervision: Assignments given broadly, with review only for critical/complex tasks.
- Confidentiality: Must safeguard sensitive departmental information.
