Summary
Main responsibilities include answering phones, taking messages, and handling mail. Needs to be proficient in Microsoft Word and Excel to prepare forms, emails, and mail merges for correspondence and cover letters. Also obtains signature; proofreads documents for 100% accuracy and makes necessary corrections; creates charts and graphs for presentations; compiles data reports for the bureau; logs incoming and outgoing documents into data tracking system. Data experience is desired.

  • Relieve superior of routine administrative duties.
  • Make recommendations regarding program activities.
  • Research and analyze materials, information, and programs.
  • Provide technical information and advice to administrators to aid in decision making.
  • Assist in developing new procedures related to established program policy.
  • Serve as liaison between administrator and subordinates.
  • Transmit decisions and directives.
  • Represent administrator at meetings and conferences.
  • Manage business functions of administrator's office.
  • Prepare and monitor budgets.
  • Prepare payroll.
  • Process bills for payment.
  • Purchase supplies and equipment.
  • Keep fiscal and personnel records.
  • Interview prospective employees.
  • Perform public relations duties.
  • Research and respond to inquiries and complaints.
  • Furnish information and explain programs to the public.
  • Work on special assignments and projects as directed.
  • Prepare reports, publications, memos, and presentations for dissemination outside the work unit.
