Roles and responsibilities:
  • Data entry of cause of death-on-death records.
  • Process adoptions, court-ordered corrections, and paternities.
  • Data entry of abortion reports received via mail or email.
  • Close birth or death record orders in VSIMS (internet or mail).
  • Search and print birth and/or death records from the system.
  • Assist customers at the front office desk.
  • Cover public phones as needed.
Job Duties In order of Importance:
  • Provides secretarial assistance through routine administrative tasks such as drafting correspondence, compiling data, preparing reports, setting up office procedures, and coordinating office workflow.
  • Screens problems and obtains files and records to support referrals; resolves routine issues that do not require interpretation of policies.
  • Provides secretarial assistance in a technical environment, including transcription and formatting of documents using specialized terminology (legal, medical, scientific, etc.).
  • Serves as lead worker over office support staff by coordinating daily work and providing training and evaluation.
  • Produces typed copy from written, dictated, or oral instructions; proofreads and formats documents.
  • Performs clerical duties such as maintaining files, routing mail, answering phones, greeting visitors, ordering supplies, and scheduling meetings.
Major Worker Characteristics:
  • Knowledge of English grammar and composition; arithmetic (addition, subtraction, multiplication, division); records and administrative practices.
  • Skill in keyboarding; use of Microsoft Office; operation of standard office equipment including transcribers and calculators.
  • Ability to interpret instructions; write routine business letters; complete forms; arrange items alphabetically/numerically; assess questions and provide appropriate information.
