Job Summary:
We are seeking an experienced Administrative Assistant to provide onsite support to the Director of Graduate Studies, Director of Undergraduate Studies, and the Lead Administrative Assistant. The role involves managing departmental websites and webpages, supporting annual events such as the Literary Awards, Woodman Lecture, and Visiting Writer Series, and coordinating guest speakers and event logistics. This is a short-term, 6-month assignment to cover for a current FTE.

The ideal candidate will have strong administrative skills, experience managing multiple priorities, and proficiency in both general office software and Purdue-specific platforms (training provided).

Key Responsibilities:
  • Provide comprehensive administrative support to department leadership

  • Update and maintain departmental website and webpages using Purdue platforms (Concur, Slate, Cascade)

  • Assist in planning and coordinating annual and ongoing department events

  • Arrange logistics for guest speakers, including scheduling, communication, and travel coordination

  • Collaborate with faculty, staff, and external stakeholders to support department operations

  • Draft, proofread, and edit documents and communications

  • Interpret and apply policies and procedures, recommending process improvements

  • Maintain confidentiality and manage sensitive information effectively

Required Qualifications:
  • High School Diploma or GED (Education Verification will be run)

  • Minimum 3 years of experience in an administrative support role

  • Proficiency with Microsoft Office Suite (Word, Excel, Adobe)

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to manage multiple tasks and deadlines

  • Ability to work independently and handle frequent interruptions

Preferred Qualifications:
  • Experience with Purdue-specific platforms such as Concur, Slate, and Cascade

  • Advanced computer skills, including PowerPoint, Outlook, and internet research

  • Experience interpreting policies and resolving administrative issues

Additional Information:
  • Parking: An A Pass will be provided for employee parking during the assignment
