Immediate Start - FTC - 9 months

International Energy company based in the West End is looking for a very well presented, articulate, confidential and experienced team secretary ideally from finance or trading background.

Working alongside two other secretaries, you will be providing support to a team of 20 traders. This is a busy and varied role and your responsibilities will be as follows:

  • Organising travel for staff
  • Meeting and greeting visitors
  • Liaising with international offices and contacts to arrange meetings, conferences and travel
  • Processing and keeping track of visas for UK staff, international staff and consultants
  • Providing and requesting letters of invitation
  • Typing tender documents
  • Processing invoices
  • Processing expenses
  • Restaurant, hotel and taxi reservations
  • Arranging meetings (including video conferences)
  • Typing letters and reports, occasionally using audio equipment
  • Liaising with Reception to ensure they are informed of all visitors to the office
  • Telephone Co-ordinator to ensure telephone is answered quickly at all times, with clear concise messages being taken and passed onto the relevant staff member
  • To archive / box file any necessary documentation
  • Ensuring databases are update
  • To provide support to two other team members as and when needed
  • General correspondence
  • SKills and experience required
  • Educated to A-level standard (or equivalent), as a minimum requirement Diploma (or equivalent) in secretarial skills - desirable Skill Sets
  • Minimum grade C at GSCE (or equivalent) in English and Maths
  • Good verbal and written communication skills
  • Good organisational and administrative skills
  • Excellent computer skills with 60+ wpm
  • Pleasant telephone manner
  • Ability to get things organised
  • Attention to detail
  • Ability to ensure a good understanding of any instructions given
  • Confidence to clarify instructions received
  • A second language is advantageous
  • A forward thinker who is able to prioritise
