10am - 7pm shift - Immediate start

Highly successful and well reputable private equity firm based in the West End is looking for an experienced front of house individual who is very well presented and spoken to provide a first class customer service to all incoming visitors and internal staff. The ideal candidate would be someone who has worked for one of the top 5 airlines and have had some corporate reception experience. Working alongside another receptionist, your duties will include:

  • Answer the telephone, transferring them to relevant member of staff and/or relay or take message
  • Advise ground floor reception of visitors in advance
  • Meet and greet visitors
  • Book meeting rooms:
  • Connect all audio and video conference meetings
  • Manage catering needs for business meetings, breakfast, lunches and dinners:
  • liaise with catering supplier;
  • Sign off on invoices, ensure proper coding and documentation, timely submittal to PA/Finance
  • Book courier, bike and taxi requests
  • Distribute all incoming post and daily newspapers including couriers, in a timely fashion
  • Build effective relationships with Building office and Security teams
  • Perform ad hoc projects as requested

  • Facilities /Office Administration:
  • Manage facilities related issues as directed by Director, e.g. fault reporting - liaise with maintenance company and organise works
  • source suppliers where necessary and obtain quotes
  • maintain first aid box(s) and stock supplies
  • keep record of maintenance contracts
  • inspect the floor monthly
  • Order standard and non-standard stationery items. Maintain adequate stock levels at all times.
  • Liaise with vendors
  • Sign off on invoices, ensure proper coding and documentation

Skills and experience required:

  • Previous receptionist experience working within boutique investment or asset management firms is essential
  • Excellent telephone manner and communication skills
  • Intermediate Microsoft skills in Outlook, and to a lesser extent, MS Word, and Excel
