A leading financial institution requires an experienced PA with supervisory experience, to support a Director in an exciting role within their policy division.

Key Responsibilities

  • Effectively and efficiently managing the Director's diary and working papers, including liaising with other offices (internal and external) to set up meetings.
  • Keeping track of the Director's inbox and making sure that every item is dealt with. This will involve exercising good judgement as to what can be dealt with personally, what the Director must deal with and what can be passed on to other members of the division.
  • Regularly checking in with the Director to highlight outstanding actions/queries.
  • Acting as the first point of contact and liaising with internal and external stakeholders. You will need to work closely and collaboratively with the other PA/Administrators within the division and across the organisation.
  • Reviewing and processing expenses and invoices prior to Director sign-off.
  • Working with the Director, with little supervision, to ensure that the right people, other support, processes and systems are in place, often acting on own initiative to anticipate requirements.
  • Providing administrative support for ad hoc projects or work across the Department and division, including away-days, Departmental Briefings.
  • Leading the PA/Administrative population on day to day issues within the Department, providing support and development.
  • Recruitment of PA/Administrative roles (as they arise)
  • Providing cover for the Executive Directors office.

Skills and Experience

  • Proven track record of managing a very busy diary and inbox on a daily basis, including competence in using Microsoft Office and Outlook applications.
  • Proven ability to lead and support administrative teams
  • The ability to handle confidential and sensitive data with a high degree of discretion, maintaining confidentiality at all times.
  • You will be decisive and able to use your judgement to make decisions at times on little detail
  • Good standard of oral and written communication.
  • High level of accuracy and attention to detail.
  • A positive, can-do attitude; ability to be proactive and a willingness to learn.
  • Excellent organisational skills and the ability to prioritise and work under pressure.
  • Proven ability to work effectively as part of a team.
  • Excellent interpersonal skills and the confidence and gravitas to deal with senior stakeholders.
  • Strong judgement and decision-making skills
