Key accountabilities:

Coordination

  • Providing administrative support for the Legal & Compliance Team, including invoices and expenses, recruitment, induction, IT administration, filing, organising away days and post and admin duties.
  • Ensuring orderly storage of the charity's signed agreements, including maintaining a central index of signed agreements and register of material contracts.
  • Helping to manage the team's intranet pages, ensuring they are clear, relevant, up to date, easily navigable and link effectively with other team pages and resources.
  • Co-ordinating the organisation of the team's shared drive.
  • Acting as the point of contact for booking meeting rooms with pro bono law firms.

Governance & Compliance

  • Carrying out anti-terrorism vetting checks.
  • Assisting with the maintenance of the non-UK country registrations (including Gibraltar, Channel Islands, Isle of Man and overseas).
  • Maintaining company records, including board & committee minutes and trustee conflicts of interest declarations.
  • Helping to maintain compliance registers as required, including attendance registers for staff compliance training courses.
  • Liaising with trustees to obtain trustee signatures on deeds and other documents.
  • Co-ordinating the notarisation of documents, including liaising with notary and Country Offices where required.
  • Assisting with other compliance matters as required.

Archives

  • Acting as point of contact for access requests to our historical archives, including fielding research queries from researchers and assisting as required.
  • Maintaining our temporary archive catalogue, and managing requests from other teams for deposits to and retrievals from the temporary archives, including training teams on use of the temporary archives.
  • Managing the relationship with the temporary archive provider, including invoices.
  • Visiting the permanent archive in Birmingham from time-to-time to liaise, as required.
