As Head of Operations, you will play a pivotal role in the success of the continuous operation of services that support the IT infrastructure of the business.

The role holder requires strong leadership and communication skills to guide and develop a small team of direct reports.

You will be able to cope with a rapidly growing organisation who require support across the following key areas:

Responsibilities

  • Business efficiency. Ensure the smooth running of day-to-day operations and processes within the business and applying common sense to apply appropriate improvements. (Monitor the efficiency of business procedures and processes and apply appropriate improvements, making of and sharing management information).
  • Systems development. Supervise development of systems across all company platforms, including internal networks, communications systems, websites, CRM, IVIS, statistics database and system security. Ensure that IT and other business systems are modern and fit for purpose.
  • (Understanding current market trends in IT - projects, assessing IT products and managing suppliers - super tech savvy and able to handle office IT issues swiftly and competently. Fully competent with security of data).
  • Internal corporate governance. Ensure the processes and documentation of the Board and ExCo and associated committees comply with the highest standards, including comprehensive reporting of operations activities, past and planned, with appropriate MI and other relevant detail.
  • Ensure the firm has appropriate and well managed offices and facilities. Liaising frequently with the landlord and attend tenant's meetings; schedule regular office maintenance visits (eg. PAT testing, fire extinguishers etc.) Facilities and front of house: liaise with landlord and attend tenant's meetings; schedule regular office maintenance visits (eg. PAT testing, fire extinguishers etc.); annual review of maintenance contracts (office cleaning, archiving, stationery providers etc.). Manage receptionists and the reception overflow service.
  • Risk management. Ensure the maintenance of Risk Register, reporting to the Audit Committee as required; creating risk assessments for staff events; ensuring out of hours events have been risk assessed and provide appropriate mitigations. Knowledge of GDPR compliance and able to handle contract renewals; ensuring ongoing compliance and policy development.
  • Health & Safety. Provide a safe working environment and ensure the firm's full compliance health and safety law are adhered; supervise fire marshals and first aiders.
  • Ensure all offices are secure and maintain office secure access systems.
  • Insurance: arrange and maintain appropriate insurance for the firm, including maintenance of Insurance Register.
  • Business continuity: ensure the firm maintains comprehensive disaster recovery and business continuity plans and procedures; manage the disaster recovery team; manage programme of drills and rehearsals.
  • Contracts: responsibility for maintaining a database of all contracts from across the business.

Skills and Attributes

  • Deep experience within in an operations or comparable function, preferably within financial services
  • Highly business-like, professional and efficient attitude
  • Strong problem-solving skills
  • Act with confidence, be self-motivated, take ownership of issues and possess the ability to work under pressure whilst maintaining prescribed standards

  • Tech savvy and expert knowledge of IT systems
