A leading Investment company based in the City of London currently require an experienced Executive Assistant (EA) to cover a maternity contract for at least 9 months. The role will start at the beginning of February.

This fantastic SME are situated in beautiful offices and encourage a collaborative working culture. The position will be supporting a team of senior executives and requires a strong, self-motivated EA with professionalism, confidentiality and assertiveness.

Main Duties will include:

  • Extensive diary management for a team of 7: 1 Partner, 2 Principals, 1 VP, 2 Senior Associates and 1 Associate
  • Arranging both internal and external meetings, video conference, conference calls
  • Corporate travel for team. Producing comprehensive, accurate itineraries and being available in the event of any last minute changes inc weekends
  • London Team holiday tracker, manage, track and update team Easter, Summer and Xmas team movements
  • Telephone contact with external and phone pick up for direct team and wider group
  • Booking with reception international couriers for legal and time critical documents
  • Personal medical and dental claims
  • Lawyer invoices print and collate
  • Accurate and prompt reconciliation of team expenses
  • Typing correspondence; letters, notes, emails
  • Document creation, and some editing word / excel / PowerPoint
  • Submit, complete docs for business visa
  • Fire Warden duties to fulfil
  • General ad-hoc admin duties

The ideal candidate will have:

  • Good standard of education. Ideally corporate based experience, industry knowledge
  • Knowledge of Outlook applications and MS Office software skills
  • Be extremely proactive, well organised approach to be able to be on top of emails and workload
  • Be able to work in a busy environment with close team
  • Must be a true team player
  • Strong communication skills with the ability to adapt to all levels and anticipate situations
  • Strong admin skills with professional demeanour and polite telephone manner
  • Be confident and remain calm under pressure, be able to prioritise workload where required
  • Ability to work independently and at own initiative
  • Be flexible if required to work outside normal working hours and pick up urgent travel requests inc weekends (rare but must be prepared)
  • Good interaction skills with people and colleagues - sociable
