Events Assistant - City - £24k

Responsible for:

Assisting the Events Manager in the planning, coordination and delivery of client events and carrying out all relevant communication and administration.

Job Purpose:

  • Working with the Events Manager and other key stakeholders to co-ordinate and communicate the calendar of client events, plan and deliver ad hoc event solutions, meet deadlines and schedules and liaise with contractors and suppliers as necessary
  • Ensuring that all relevant communication, administration and recording of event related data is carried out efficiently, accurately and in the relevant time-frame
  • Provide ad hoc support as required to the delivery of internal events

Main responsibilities:

  • To update the calendar of client events and communicate updates to key stakeholders
  • To coordinate and process all aspects related to event bookings using in-house and external computer systems, liaising with contractors and suppliers as necessary
  • To ensure invitation, confirmation and ticketing correspondence is processed accurately, professionally and in a timely fashion so that all participants are provided with all relevant details to ensure success
  • To accurately maintain records and prepare statistical reports for events where required
  • To process related invoices using internal procedures and record spend accordingly
  • Provide support to stakeholders in the administration and delivery of ad hoc events including client seminars
  • To be prepared to work off-site and during evenings/weekends when attending events is required
  • To take a hands on role to ensure the successful delivery of key events as agreed with stakeholders

Candidates will have:

  • 6 months experience within an events or administrative based environment.
  • Ability to work to tight deadlines when required, paying close attention to detail as this is essential
  • Excellent communication (written and verbal) and interpersonal skills
  • Strong organisational, initiative and time management skills
  • Self-motivated
  • Passionate about building a career in events
  • Interested in, and has knowledge of, major sporting, musical and social events and associated venues
  • Friendly and sociable
