My client who is a non for profit organisation based in North London is looking for an experienced Executive Assistant to provide support to two busy Directors. This is a varied and meaty role and would suit someone who have previously worked within charity, education or social services with particular emphasis on commitment to safeguarding and promoting the welfare of children and young people.

The purpose of the role is to ensure the effective administration of the HR and Finance departments, IT and Property, in order to achieve operational plans, budgets, relationship development and compliance with best practice and legislation.

Duties will include:

  • Manage the day-to-day offices of the HR Director & Director of Finance and Operations, including diary management, meeting preparations and briefings, note-taking, progress chasing, travel arrangements;
  • To prepare agendas, meetings and taking minutes for a range of Committees including (but limited to): the Trustee Investment Committee, the Staff Council, the Job Evaluation Committee, Health and Safety

Committee;

  • Liaise with other EAs and directly with members of the Executive Leadership Team (ELT) in support of their objectives and priorities, providing cover where necessary;
  • Communicate with high level stakeholders on behalf of the Directors - audiences including professional advisers such as auditors, lawyers, bankers, insurers; occupational health providers, recruitment and advertising agencies; suppliers; sector bodies CEOs and Directors of other charities; and schools and parents of children and young people with special needs
  • Prepare reports and presentations
  • Manage the administration of all recruitment and HR activity recruitment and appointment processes adhere to HR policy;
  • Interview candidates where appropriate;
  • Maintaining records, including appraisals and personal files
  • Responsible for taking minutes during disciplinary, capability, grievance meetings
  • Assist with tenders as appropriate for services, such as insurance brokers, disaster recovery plan providers
  • Liaise with insurance brokers regarding the yearly renewal of premium of all insurances including life assurance, collating and providing information as requested by them to provide quotations, first port of call from insurance brokers if they require information
  • Responsible for ensuring bank and investment house signatories are up to date
  • Assist with timely filing to Companies House and the Charities

Project Work

  • Generating people information for the Disaster Recovery Plan
  • Ensuring the yearly Staff Survey is sent out in a timely fashion and results are distributed
  • Support and manage specific events for the HR and Finance team such as Wellbeing Month, including conducting research and attending committees
  • Supporting the compilation of the termly risk register and analysis
  • Supporting the planning and monitoring process
