Highly successful and reputable large investment firm based in the City is looking for an experienced senior level EA who is proactive, well educated, articulate and confident with a good sense of humour to support a very busy and dynamic board director. This is not a traditional EA/PA role as they are looking for someone who can think outside the box, be inquisitive, in terms of researching information in order to do a fabulous job. Life will never be dull working for this extremely successful individual. This role is certainly not for the faint hearted and equally must be happy to do a high volume of personal work.

Duties and responsibilities

    • Provide secretarial and administration support to the BE, including maintaining Outlook calendars, opening post, organising internal and external meetings, attending and producing agendas for weekly team meetings (where appropriate), producing presentations, processing expenses etc.
    • Managing inbox
    • Act as 'gate-keeper' to the BE- manage appropriate and timely responses to telephone calls, e-mails etc
    • Undertake administration and planning for the BE
    • Organise travel arrangements and book accommodation
    • Perform departmental administrator role, including maintaining department stationery supplies and organising ad hoc social events for the team where required.
    • Provide ad hoc administrative support to other members of the team, arranging meetings etc.
    • Work closely with other secretaries within the department to ensure seamless provision of secretarial and administration support across the department.Person Specification
    • Excellent standard of education
    • Proven track record of senior secretarial experience supporting board level individual is essential
    • Proven experience in a financial services or consulting environment
  • approach to work and a "can do" attitude are essential.
  • A willingness to assist the department should the need arise
  • A strong communicator, with excellent interpersonal skills and the ability to liaise effectively at all levels

  • Advanced IT skills (MS Office and Outlook)

  • Numerate; comfortable manipulating and presenting numbers
