Team Assistant - City - £40-42k

The main purpose of this role is to provide general team support and co-ordination, administration and secretarial assistance to team members; as well as act as back up for the administrative support for the broader team when required.

Key role responsibilities/tasks include:

  • Act as a contact point for the team, including answering telephone calls, taking and relaying messages in a timely manner, responding to routine correspondence and replying to invitations, and liaising as appropriate with other teams internally.
  • Organise all travel arrangements for the team. Co-ordinate and/or assist with itineraries, book travel and accommodation, and process visas.
  • Provide general administration support to the team, printing presentations, meeting notes, company research and letters, compiling and issuing documentation such as financial/operational reports as required and supporting ad-hoc projects.
  • Maintain weekly team meeting agenda and work log schedule.
  • Maintain filing systems for company research, client agreements and correspondence, and team documents.
  • Manage the team diary (including assisting with individual diaries), co-ordinating and organising diary appointments and meeting rooms, and any follow up on required actions.
  • Processing of expenses.
  • Maintain and coordinate all leave records and admin related to employee benefits.

Candidates for this role will need to have previous experience within a similar role supporting a team. Strong organisational skills are a must with the ability to work under pressure, to deadlines and on own initiative.
